highdefinitionfitness.ca (the "Site") is owned and operated by Truesport Fitness Ltd. o/a High Definition Fitness ("HDF," "we," "us," or "our"). This Privacy Policy explains what personal information we collect through the Site and its forms, how we use and share it, and the choices you have. We handle personal information in accordance with Alberta's Personal Information Protection Act (PIPA) and other applicable Canadian privacy laws.

By using the Site or submitting a form, you consent to the collection, use, and disclosure of your personal information as described in this policy.

1. Information We Collect

Information you provide to us. When you fill out a form on the Site (membership application, free trial request, contact form, trainer inquiry, or cancellation form), we may collect:

  • First and last name
  • Email address and phone number
  • Date of birth
  • Membership selections, commitment term, and service preferences
  • Your electronic signature on membership or cancellation agreements
  • Fitness goals, health or injury information, or other details you choose to share in open form fields
  • Payment information, which is processed directly by Stripe (see Section 4)

Information collected automatically. When you browse the Site, we and our service providers automatically collect standard technical and usage data, including:

  • Pages visited, links clicked, and time spent on the Site
  • Browser type, device type, and general location (city or region, not precise location)
  • Referring website or ad
  • Advertising click identifiers (such as Google's gclid or Meta's fbclid) when you arrive from one of our ads

2. How We Use Your Information

We use personal information to:

  • Respond to inquiries and requests
  • Process membership applications, free trial requests, and cancellations
  • Process payments and manage billing
  • Schedule consultations, InBody scans, and other services you request
  • Communicate with you about your membership, account, or facility updates
  • Measure and improve the performance of our advertising on Google and Meta
  • Understand how visitors use the Site so we can improve it
  • Protect the Site and our forms from spam and abuse
  • Meet legal, accounting, and reporting obligations

We will only send you promotional emails or messages with your consent, and you can unsubscribe at any time using the link in the message or by contacting us.

3. Cookies and Tracking Technologies

The Site uses cookies and similar technologies (such as pixels and tags) to:

  • Keep the Site working properly
  • Collect analytics about how visitors use the Site (Google Analytics)
  • Measure which ads bring visitors to the Site and whether those visits lead to an inquiry or signup (Google Ads, Meta Pixel)

4. Who We Share Your Information With

We do not sell, rent, or trade your personal information. We share it only with service providers who help us run the Site and our business, and only as needed for them to perform those services:

  • Squarespace — hosts the Site
  • Jotform — processes and stores form submissions, signatures, and signed agreement PDFs
  • Stripe — processes payments. HDF does not see or store your full card details.
  • Make.com and Google Workspace (including Google Sheets) — route and record form submissions for our internal records
  • Google (Ads, Analytics, Tag Manager, reCAPTCHA) — measure advertising and site performance and protect forms from spam
  • Meta (Facebook and Instagram Ads, Meta Pixel) — measure advertising performance
  • HDF staff and trainers — those who need access to respond to your request or provide the services you've booked

We may also disclose personal information where required or permitted by law, for example in response to a legal request or to protect the rights, safety, or property of HDF, our members, or others.

Independent trainers. Personal training and other services at HDF are provided by independent contractors. If you contact or book with a trainer directly, the information you share with them is handled by that trainer's own business.

5. Storage Outside Canada

Some of our service providers (including Jotform, Stripe, Google, Meta, Make.com, and Squarespace) store or process information outside Canada, primarily in the United States. Information stored outside Canada is subject to the laws of that country and may be accessible to its courts, law enforcement, and national security authorities. 6. Embedded Content and Third-Party Links

Pages on the Site may include embedded content such as forms, maps, videos, or social media posts. Embedded content behaves the same way as if you had visited the other website directly, and that website may collect data about you, use cookies, and track your interaction with the content.

The Site may also link to other websites, including our social media pages and any app used for facility door access. We are not responsible for the privacy practices of those websites or apps. Please review their privacy policies before sharing information with them.

7. How Long We Keep Your Information

We keep personal information only as long as needed to fulfill the purposes it was collected for, including providing your membership and services, and to meet legal, accounting, and reporting requirements. When it's no longer needed, we securely delete or anonymize it.

We use reasonable safeguards to protect personal information, including secure (HTTPS) connections on the Site, trusted third-party processors for forms and payments, and limiting access to staff who need it. No method of transmission over the internet or electronic storage is completely secure, so we cannot guarantee absolute security.

9. Your Rights and Choices

You may, at any time:

  • Ask what personal information we hold about you
  • Ask us to correct information that is inaccurate or incomplete
  • Ask us to delete your information, subject to our legal and contractual obligations
  • Withdraw your consent to our use of your information, subject to legal or contractual restrictions. Withdrawing consent may affect our ability to provide certain services.
  • Unsubscribe from promotional communications

10. Children

The Site and our online forms are intended for adults 18 and older. We do not knowingly collect personal information from anyone under 18 through the Site. If you believe a minor has submitted information to us, contact us and we will delete it.
